Using System3 User Control Panel
System3 User Control Panel is where your company manages its System3 services. Today that is mail security: finding mail that was held back as spam, releasing what you need, and deciding which senders to trust or block.
You can use it if your company has registered you with System3 as an authorised contact. Open control.system3.net on a computer or phone. The first time you sign in, we ask you to check your details and add a mobile number and personal email as backups, then show you around in six short steps. Take the tour again.
Signing in
There is no password. Each time you sign in, we send you a 6-digit code.
- Go to control.system3.net and enter your work email address or your mobile number.
- Choose Send code. The code goes to your official (work) email.
- Type the code and choose Sign in.
If the code doesn’t arrive
Wait a minute, then choose Send to my personal email. If that doesn’t work either, you can have it sent to WhatsApp. It is the same code each time, so use whichever message arrives first. Check your spam folder too.
How long codes and sign-ins last
- A code works once and expires after 10 minutes. After 5 wrong tries, request a new one.
- Once signed in, that browser stays signed in for 30 days, even if you close it. On a shared computer, sign out when you finish: choose your name at the top right, then My profile, then Sign out.
If you are told the code is not valid, or no code ever arrives, your details may not be registered yet. Contact System3 (see Getting help).
Quarantined mail
Our filters check every email sent to your company. Mail that looks like spam or contains a virus is held back in quarantine instead of reaching the inbox. You can look through it at any time; you don’t need to wait for a daily report.
Finding a message
- Choose Quarantine in the menu on the left.
- Pick the period, and optionally type a mailbox (for example accounts@yourcompany.com) or a word from the sender or subject.
- Choose Search, then click a message to open it.
The Type menu switches between spam and mail held because of a blocked attachment.
Opening a message safely
The preview is made safe: links can’t be clicked, pictures from the internet aren’t loaded, and nothing in the email can run. Under Why it was held you can see the checks it failed and how much each counted towards its spam score.
What the buttons do

| Block sender for this mailbox & delete | Deletes the email and blocks the sender for the mailbox that received it only. To block them for everyone at your company, add them on the Blocklist page under “Whole domain”. |
To act on several messages, tick them in the list and use Release or Delete above it. Quarantined mail is only kept for a limited time, so release anything you need promptly.
Allowed and blocked senders
The Allowlist holds senders you trust; their mail is not treated as spam. The Blocklist holds senders you never want to hear from; their mail is always treated as spam.
- Choose Allowlist or Blocklist in the menu.
- Under Applies to, choose Whole domain to cover everyone in your company, or a single mailbox. To open a mailbox that isn’t listed, type it under Or another mailbox.
- Type the sender and choose Add.
You can enter one address (billing@supplier.com) or a whole domain (supplier.com, which covers every address at that domain). Choose Remove next to an entry to take it off.
Use the allowlist carefully: allowed mail skips the spam check, so only add senders you know. Viruses are still stopped.
Tracking a message
If someone says they emailed you and it never arrived, choose Mail tracking. Enter the recipient, and part of the sender’s address if you know it, pick a period (up to 24 hours back) and choose Search.

| Bounced | Could not be delivered and was returned to the sender. |
| Greylisted | Briefly delayed as a spam check; the sender’s server normally retries within minutes. |
If you can’t find the message at all, it may not have been sent to us, or the sender typed the address differently. Ask them to check.
Dashboard and audit log
The Dashboard shows how much mail your domains received and how much spam was stopped, for the period chosen at the top right (last 24 hours, 7 days or 30 days), and what was quarantined in the last hour.
Under Mail servers you see each server your mail is on: whether test messages are getting through to and from Gmail and Yahoo, and whether its DNS records (MX, SPF, DKIM, DMARC, reverse DNS, encryption) are in order. If you have domains on more than one server, you see one card for each. Copy setup next to a domain copies the settings for adding its mailboxes to Outlook, a phone or any mail app.
The Audit log records every release, deletion, list change and sign-in, with who did it, when, and from which internet address. Company administrators see everyone’s actions; other users see their own.
Your profile and company
Choose your name at the top right to open My profile or Company profile.
- My profile: change your name and designation, add or change your personal email and WhatsApp number, and see every browser you’re signed in on. A new address is added only after you enter a code we send to it.
- Company profile: company administrators can update the contact details and address used for your account and invoices. The company name, legal name and GSTIN match your GST registration, so only System3 can change them.
Some changes are reviewed by System3 before they appear. You’ll see a note saying so until they are applied.
Who can do what

Your roles and domains are listed under My profile. To change who has access, contact System3.
Keeping your account safe
- Never share your code. System3 will never ask you for it.
- Only release mail you were expecting. If a message asks you to log in, pay, or open an attachment unexpectedly, delete it.
- When someone leaves your company or changes role, tell System3 straight away so their access can be removed. Your company is responsible for keeping its list of authorised people up to date.
